Front Desk Representative

SUMMARY:  The Front Desk Representative is responsible for coordinating patient check-in, checkout, medical record collation, appointment scheduling and patient financial responsibilities.  Our staff is committed to our patients, providers, and co-workers to provide optimal patient care.  As a central part of team-based care, we work together and participate in healthcare delivery to maximize continuity of care for our patients.  As team members, our individual work is important, by itself, but it also influences how others are able to perform their jobs as well.  Therefore, we want to empower our providers and staff to work to their highest licensure or capabilities.  Staff should assist providers so that their responsibilities are centered on patient care, not on clerical, administrative, or ancillary duties that can be performed by other qualified team members.  As a team our goal is to provide coordinated and comprehensive care for all of our patients.

ESSENTIAL DUTIES & RESPONSIBILITIES  (nothing in this job description restricts management’s right to assign or reassign duties and responsibilities to this job at any time):

  • Greet patients promptly and professionally
  • Ensure patients are given the appropriate paperwork and direction to complete when checking in
  •  Verify patient’s contact information and retrieve necessary insurance information upon check-in
  • Review account balance and communicate any amounts due to patient
  • Assist patients with any questions or concerns
  • Assist the clinical staff in maintaining efficient flow by directing patients to assigned areas 
  •  Alert medical staff of urgent illness 
  • Determine patient’s immediate needs and direct them to clinical staff according to protocols
  • Review charts for accuracy and completeness at patient check-in and check-out and report discrepancies to the manager
  • Monitor inventory of supplies and communicate to manager any ordering needs
  • Complete daily deposit
  • Medical Record Collation
  • Schedule Appointments and Reminders
  • Generate and Process Patient Referral Request
  • Insurance Verification
  • General Upkeep of Office Cleanliness
  • Assist nurses and providers with administrative duties
  • Attend all department, management, special project meetings and training

QUALIFICATIONS (Education and/or Experience):  The requirements listed below are representative of the knowledge, skill and or ability required:

  • High School Diploma or equivalent required
  • Minimum 1 year administrative and customer service experience required; medical office experience preferred
  • Communication skills: excellent interpersonal skills, ability to read, analyze and interpret documents; ability to respond effectively to all inquiries; ability to write using proper grammar, punctuation and spelling; ability to present information
  • Strong attention to detail with the ability to multi-task and work within a fast-paced environment
  • Computer Skills: Proficient in Windows applications; ability to use Excel; word processing; spreadsheets, e-mail and Internet
  • Ability to deal with confidential information appropriately
  • Relies on judgment and experience to plan and accomplish goals
  • Ability to define problems, collect data, establish facts and draw valid conclusions
  • Ability to work independently on projects and as a member of a team
  • Ability to multi-task and organize and prioritize workload

Medical Assistants

SUMMARY: Medical Assistants are responsible for aiding all providers in ensuring optimal patient care and promoting proper patient flow. Our staff is committed to our patients, providers, and co-workers to provider optimal patient care. As a central part of team-based care, we work together and participate in healthcare delivery to maximize continuity of care for our patients. As a team our goal is to provider coordinated and comprehensive care for all of our patients.

QUALIFICATIONS (Education and/or Experience): The requirements listed below are representative of the knowledge, skills and or ability required:

  • High School Diploma or equivalent required; Medical Assistant Program completion preferred
  • Minimum 1 year medical assistant experience required; experience with pediatric patients preferred
